Administrative Specialist III - 12123C

Duties & Responsibilities:

  • Manage Advising Center lobby: oversee phone calls, messages, mail, setting of appointments, update calendars and appropriate presentation of the center
  •     Manage computer lab: oversee update of antivirus software, monitor student use, and presentation
  •     Official contact with physical plant and ITS for office maintenance
  •     Process and file confidential forms
  •     Assist with coordination of planned events including commencement ceremony
  •     Complete financial transactions for office supply orders
  •     Maintain updated office inventory
  •     Provide supervision for student workers
  •     Other duties as assigned


Knowledge of the principles and practices of mathematics and statistics
Knowledge of research and analysis techniques and methods
Knowledge of work-related subject area
Knowledge of computers and software applications

Ability to prepare, present, and review oral and written information and reports
Ability to research and analyze related work program information
Ability to develop, recommend, interpret, and apply policies and procedures
Ability to analyze financial records and prepare reports
Ability to plan, organize, and direct the work of others

General Days/Hours:

Monday - Friday
8:00 a.m. - 5:00 p.m.
Additional hours as requested and/or needed
Regular and reliable attendance

The administrative specialist will have daily contact with the center staff, as well as serve as the contact between department and other campus staff and faculty

Job Requirements

The formal education equivalent of a High School Diploma

One (1) year of specialized training in business management, business education, or a related field

Two (2) years of experience in a specialized or a related field applicable to work performed

Other job related education and/or experience may be substituted for all or part of these basic requirements, except for certification or licensure requirements, upon approval of the qualifications review committee
